The lead arrived with no source: where the link breaks

A third of leads reach the CRM as "source: unknown". The platform and the tool are almost always working, and what failed was a link at one of four points along the path. This piece shows where to look.

Point 1: the form swallows the parameters

The ad sends the visitor to the landing page with the source parameters in the URL. The form is filled in, the lead is sent, and only the name, email and phone make it through. The parameters stay in the address bar and die there.

This is the most common case and the easiest to fix: the form needs hidden fields that capture the URL parameters and send them along with the rest. If the page builder you use doesn't do this natively, it almost always lets you add hidden fields manually.

One detail that trips up a lot of people: if the landing page redirects (http to https, com to com.br, an old URL to a new one), the parameters can be dropped along the way. Test by clicking your own ad and checking whether the final URL still carries them.

If the source doesn't leave the landing page, no tool downstream can reconstruct it.

Point 2: the conversation changes channel

The visitor clicks the ad, lands on the site, sees the WhatsApp button and carries on there. From the sales team's point of view, a phone number appeared out of nowhere.

The fix here is for the WhatsApp link to carry the source in the opening message, as a short code the rep doesn't need to read but the system recognizes. When the click goes straight from the ad to WhatsApp, without passing through the site, the media platform itself provides a reference identifier that does the job.

What doesn't work is relying on memory: "how did you hear about us?" has exactly the accuracy rate you'd imagine.

Point 3: the manual entry

The rep got the contact through a colleague's referral, wrote it on paper and entered it in the CRM on Friday afternoon. Source field: empty, because it isn't required anywhere.

Here the fix is a process one. Two things help: make the source field required on manual entry and offer honest options, such as "referral", "returning" and "outbound". A lead marked as a referral is useful information. An empty lead is noise that skews the month's math.

1,284 leads in the period
912 with a campaign source
231 marked as referral
141 with no source at all
Those 141 at the bottom are what erodes trust in the entire report.

Point 4: the sale doesn't come back

This is the quietest break of all. The lead came in with its source intact, the rep worked it, the contract was signed. But the deal was closed as won with no value filled in, or the value was recorded in another system nobody connected.

Without the value coming back, the lead knows where it came from, but the revenue doesn't know where to go. You can say which campaign brings the most opportunities, and you still can't say which brings the most money.

How to find your own break

A quick diagnosis, in order:

  • Click your own ad and go all the way through the form. Check that the lead reached the CRM with its source.
  • Do the same through WhatsApp. See whether the conversation arrives identified.
  • Pull last month's leads and count how many have no source. Above 15%, you have a structural leak.
  • Take the month's closed sales and see how many have a value filled in and linked to a lead.

Each of these four tests takes a few minutes and points to which link to repair. Switching tools before you know where the chain snapped won't help, because the new tool will receive the same incomplete information.

Attribution depends on a chain that is intact from the click to the cash register. One loose link is enough for the source to get lost.

What changes when the circuit closes

With the source travelling along and the sale coming back, three questions get an objective answer: which campaign brings customers who close, what it actually costs to acquire a customer per channel, and where to put the next unit of budget. That lets you defend your media spend with numbers.
